Buddiup Footy — Participant Agreement
Buddiup Footy is a community football program open to anyone in the community with disability, delivered by The Buddiup Project Ltd ("the Charity"). This agreement sets out what participants and their families or guardians can expect from the program, and what we ask in return, so please read it before your first session.
1. About the Program
Buddiup Footy runs weekly, focusing on skill development and a structured, non-contact scratch match to practice game positioning.
The program is delivered by The Buddiup Project Ltd, a registered charity, and is separate from any NDIS-registered service delivered by Almac Pty Ltd (trading as Buddiup Group).
A facilitator ratio of approximately 1:5 is maintained across each session, so most participants will not need to arrange their own individual support person or mentor.
2. Fees
Buddiup Footy is subsidised at a flat rate of $18.00 per week (inc. GST), payable directly to The Buddiup Project Ltd and separately to any NDIS plan.
As this program is run through the Charity rather than as an NDIS-registered service, session fees cannot be claimed against a participant's NDIS plan.
Financial support is available for anyone for whom the weekly fee is a barrier to participation. This can fully cover the cost of participation and is arranged through a confidential discussion with the team, please contact us if this would help.
Fees cover facilitation, ground hire, and program administration.
2a. Invoicing and Payment
Buddiup Footy runs across 13 sessions, Thursday 17 September to Thursday 10 December 2026.
Fees are invoiced in three blocks, sent one week ahead of the block:
Invoice 1: Weeks 1-4: 17, 24 Sep, 1, 8 Oct = $72.00
Invoice 2: Weeks 5-8: 15, 22, 29 Oct, 5 Nov = $72.00
Invoice 3: Weeks 9-13: 12, 19, 26 Nov = $90.00
Total: 13 sessions = $234.00
Payment for each invoice is due before the first session of that block.
Participants joining partway through the season will be invoiced pro rata for the remaining sessions in the current block.
Fees cover a participant's place in the program for each invoiced block. Missed individual sessions (e.g. due to illness or other absence) are not refunded, as facilitator and venue costs are committed regardless of attendance on the day.
If payment is overdue, the team will follow up directly before any decision is made about continued attendance. This program is designed to be accessible, if payment is a concern, please contact us, financial support may be available (see Section 2).
3. Additional Support
The standard facilitator ratio is designed to suit most participants without requiring individual support.
Where a participant requires 1:1 or additional individualised support to safely and comfortably take part, this can be arranged separately. Please discuss this with the team before the first session so appropriate arrangements can be made.
Any individually arranged support sits outside this agreement and is the responsibility of the participant, their family, or guardian to organise and fund (including via NDIS plan, where applicable).
4. Participant Responsibilities
Arrive on time and ready to participate, wearing appropriate footwear and clothing for outdoor sport.
Treat facilitators, volunteers, and fellow participants with respect and follow reasonable directions given during sessions.
Advise the team in advance of any changes to medical conditions, medication, allergies, or support needs that may affect participation or safety.
Notify the team as early as possible if unable to attend a session.
5. Health, Safety and Consent
Participation in physical activity carries an inherent risk of injury. Buddiup Footy is a non-contact program, and reasonable care is taken to manage risk, but participants and their families/guardians acknowledge this risk in agreeing to take part.
The Buddiup Project Ltd maintains appropriate insurance for the delivery of this program. Details are available on request.
In the event of illness, injury, or a behavioural incident, the team will contact the emergency contact listed on this agreement and take reasonable steps to ensure the participant's welfare.
Photos and videos may be taken during sessions for use in Buddiup and The Buddiup Project Ltd promotional material, social media, and reporting, unless the consent box below is left unticked.
6. Cancellations and Program Changes
Withdrawing from the program:
Participants may withdraw from Buddiup Footy at any time by giving at least one week's written notice to the team.
Remaining pre-paid sessions from the date notice is given will be credited or refunded, calculated from the date notice is received (not the date of the last session attended).
Sessions cancelled by The Buddiup Project Ltd:
Where a session must be cancelled (e.g. due to weather or venue availability), the team will notify participants as early as possible, wherever practical by 8:00am on the day of the session.
Cancelled sessions will be made up with an additional session or credited toward the following term, rather than refunded.
Program changes:
The Buddiup Project Ltd reserves the right to review and adjust the weekly fee, program structure, or delivery arrangements from time to time, with reasonable notice to participants.
7. Ending Participation
Withdrawal terms are set out in Section 6 above. In addition:
The Buddiup Project Ltd may pause or end a participant's involvement where there are ongoing safety, conduct, or non-payment concerns that cannot be resolved through discussion, following reasonable attempts to work with the participant and their family/guardian.

I understand Buddiup Footy is delivered by The Buddiup Project Ltd and cannot be claimed against an NDIS plan.
